I Need help getting started

??? I don't know how to get started ! I have a date, theme (Fiesta),  menu, guest list (open house for 150). Now what? How do I know how much food to serve ? How many people should I plan for?  I know how to budget, but I don't know what makes sense. For example- do I order preprinted invitations or do a flyer type on my computer? I guess I haven't been to enough graduation parties to make a judgement. Are there any resources, books available?

For invitations, you can get letter head with a fiesta type border from your office supply store and make them on your computer. My daughter is graduating this year and we are having a Japanese theme luncheon (see my post here). I just made a small size invitation on the computer that we could slip in with her grad announcements. I used fancy paper, and got graphics off the net. Then I cut them to fit in the envelope.
For an open house with 150 possible guests, I would stagger the invitations. On some say the time is 1:00 p.m.-3:00 p.m. for example, and 3:00- 5:00 p.m. on some others. That way, not everyone comes at once or stays the whole time. You want to have a manageable group.
Foodd will be tricky, as most food with your theme will need to be hot. You could make some casserole dishes of enchiladas, for example, and keep them on a warming try.
Or you could have a crockpot to keep taco meat warm.
You might want two different menus: For the earlier session, just light snacks and fresh tropic fruit. Then a heartier menu as you near the dinner hour. OR vise versa.
There are some good recipes out there for Sangria or Margaritas. You could prepare some or all of it Virgin/Mocktail. Knowing how much food to prepare is tough.
I would ask for an RSVP, but sadly not everyone follows that. Try the food tv network and/or betty crocker websites for some ideas and recommendations.  The fiesta theme sounds nice. It should be easy to find decorations at your local party store or offline. If you have children coming, they might really enjoy a pinata. One more suggstion:  Recruit some help the day of the party so you are able to mingle with the guests.  Wink

Thanks. I am doing steak and chicken fajitas, tacos, beans, rice and the fixins bar.  Snacks will be salsa, chips etc. When you invite 150 people how many usually show up? How many do I need to plan for seating at one time? Is 50 enough? If 50 is enough I can save alot on renting a second tent. The party is from 5pm-10pm.I think I am renting a frozen ( virgin) margarita machine.

On the topic of staggering the guest list, try to invite "waves" of people who already know each other.  For example, "wave 1" could include your friends from school and your neighbors, and "wave 2" could include sports teammates and buddies from orchestra.  There will probably be some overlap, but this will ensure that most everyone knows someone else at the party (it'll encourage them to stay longer!).

If I may edit Sixtiesbabe's invitation staggering suggestion, it's probably in your best interest to have the two (or three!) stated invitation times overlap by at least half an hour or so -- maybe even an hour or more, depending on how long the party will go.  That way, you won't have the "wave 1" people thinking the party's over, only to have hoards of "wave 2" people showing up.  It'll also give people the chance to mingle a little more.  Just make sure you inform *key* people that you're staggering the invitations, so they don't *talk* amongst themselves and get confused about starting times.

One more thing...invite your neighbors in the first "wave," or else they'll wonder why there's so many cars parked on the street two hours "before" your party!

HI, iam going threw the same boat my daughter graduates may 28th and it dawned on me its right around the coner, here we are working on prom, i have to work on graduation too! well i been cruising the internet and i found this place, which iam thrilled, this is what we are planning on doing,NO THEME,iam stressed out enough LOL we are just having it at home, colors are gold and Black, we are going to if i can figure it out do a slide show from birth to graduation, and put up other pictures around it and her guess book which we are planning on putting her picture in the middle of something LOL and people sign around it. and then frame it.. uhm her cake table with mints peanuts, being she wants this in the back yard we will put up a few tents, but up volleyball bad mitten etc.... meal we are going basic,,,, all kinds of pop, water, kids drinks, beer, vaggie trays and meat and cheese trays of a varity to make sandwhiches, potato salad, cole slaw, bbq hot wings, some kind of weenies and meatballs? this all isn't in stone yet LOL  my daughter wants that chocolate fountain so we are going to have strawberries and pinapple and bananas for that, on the tables we are going to put some disposable cameras on them uhm some kind of confetti probably 2006, and a center piece, lets see what else LOL iam brain storming right now.. trying to get my daughter to help at times isn't so fun, iam stressing her out to much with prom and etc LOL you know moms! so here is a start, you just neeed to sit and cruise yahoo and keep that paper near you and write things down, ask your son/daughter what they would like. iam just afraid iam going to forget something or not do anything right... i hope this helped some.. i need to call the bakery and grocery store and inlease get my name in so we can go here in town. are we having fun yet?  Grin
